Job Description

    • Ensuring that all properties are maintained and kept to a high standard
    • Preparation of properties prior to guests arrival (see Pre-Check of Unit)
    • Inventory and inspection after guest check out. Written and photographic.
    • Compiling of new inventories/inspections for new properties.
    • Reporting of damages/missing items and maintenance to owner via an owner report to the owner on a monthly basis where the property has been stayed in
    • Liaising with contractors re maintenance issues. In emergency situations, the contractor would be called out prior to the owner i.e. burst geysers, electrical faults that could be a fire hazard etc. For normal maintenance items, pre-approval from the owner to obtain quotes is essential, as well as written authorisation from the owner to proceed with any quotes obtained.
    • Replacement of broken or damaged inventory items prior to the next guests arrival and ensuring that the guest who broke/damaged the inventory items is charged for this accordingly
    • Scheduling of pest control, air conditioner servicing, garage door servicing and Jacuzzi servicing in September of each year prior to the peak season – this is done in a bulk order and with each owners approval. Send bulk email out to owners advising them of such
    • Ensuring that balustrading, side screens, appliances and any other safety hazards are checked regularly in each apartment
    • Ensure that all signage with respect to Terms & Conditions of Stay, No Smoking Signs, Jacuzzi instructions, gas braai for owners exclusive use and where relevant, body corporate rules are hung in each property.
    • Ordering and purchasing stock for cutlery, crockery and utensils kept in office for replacement in properties
    • Ordering tea, coffee, sugar, soaps, shampoos, creams, milk etc for holiday let properties (please note that December time, the company handling this does not take orders and a bigger bulk order must be ordered at the end of October)
    • Petty Cash Control and schedules
    • Updating breakage deposit schedule monthly with deductions to be made from guest’s deposits for breakages and liaising directly with the guest with respect to this.
    • Sending all invoices to the accounts department for payment with the owner’s written consent.
    • Liaising with Owners regarding maintenance and upkeep of their property.
    • Filing of all invoices and correspondence.


    1. Check cleanliness of the property:
    • Floors
    • Kitchen: counters, sink, fridge, oven and stove, microwave
    • Surfaces i.e. coffee tables, side tables, work surfaces, etc
    • Bathrooms: toilets, basins, baths and showers
    1. Test that stove, oven, microwave and fridge are on (where applicable) and in working order
    2. Check all air-conditioner are working and switch on for guests arrival on hot days
    3. Check that everything is on at the DB board, especially the geyser
    4. Check water pressure in taps is good and that the water is hot
    5. Switch on TV & DSTV and ensure it is in working order – leave TV on for guest
    6. Fill Jacuzzi’s in applicable units and ensure that the Jacuzzi is in working order, as well as placing chemicals in Jacuzzi – leave on for guests arrival with the exception of times where the guest is checking in on the weekend or the next day, the Jacuzzi then would just be filled, checked that it is working and switched off, as they are not allowed to run over night. Always make sure that the drainage valve is closed and the bubble valve is open.
    7. Beds – make sure that there is the following on each bed: Night frill, fitted sheet, mattress protector, duvet inner and duvet cover, pillows with pillow cases
    8. Towels: Ensure that there is a hand towel in each bathroom and a bath towel placed at the foot of each bed per person
    9. Ensure that there is at least 1 bath mat in each bathroom
    10. Query with the cleaning company if there is any towels or linen short or if the unit is not properly clean
    11. Check batteries in remote controls and that all is working
    12. Check Garage Remote control where applicable
